Train the AI agent once instead of correcting every reply

Every new person on the support desk asks the same three questions. How much can I refund without asking. What do I do when the return window closed two days ago. What do we write when someone mentions a lawyer.
You answer, they forget, you answer again. With an AI agent it starts out the same way, with one difference. It does not forget.
What you set once
During setup you give the agent a name, fix the tone, and write down your rules. Goodwill limits, deadlines, the exceptions you make for repeat customers. Plus trigger words that must never let a reply go out automatically.
This is not prompt engineering. You write your rules the way you would explain them to a new colleague.
What happens to your corrections
The real work happens in the first days. The agent drafts, you read, and where something is wrong you change it before sending. That change does not stay with that one email. It is recorded and shapes similar cases afterwards.
For five to seven days the agent writes drafts only. After that you release categories one at a time, not all at once.
Why I would not skip that week
Switching everything to automatic straight away is tempting. The agent will answer either way. It will just answer by general rules instead of yours. One that knows you refund up to thirty euros without asking and reject returns after forty days is worth more than one that is faster.
What this does not solve
Contradictory rules stay contradictory. If your site says a fourteen day return window and in practice you grant thirty, somebody has to decide which it is. The agent will not decide it for you. It follows what you wrote down.
