One ticket instead of three tabs across Shopify, tracking and inbox
Published on March 29, 2025
A customer asks whether her second order can still be cancelled. You read the email in the inbox. Then Shopify, search the name, find two orders, work out which one she means, check the payment status. Then copy the tracking number and paste it into the carrier's page. Then back to the inbox to write the answer, scraping half the numbers together from memory.
Three programs, four minutes, one question. At thirty requests a day that is half your morning.
What sits next to the message
Inside the ticket the context lives in the sidebar, right beside what the customer wrote. The matched order with its line items, the payment status, and the shipment status for the tracking number. The agent already fetched all of it before you opened the ticket, because it needs the same data for its draft.
That removes the part of the job that is not work, just looking things up.
Refunds from inside the ticket
Refunds have a button in that same sidebar. It triggers a real refund in Shopify, immediately, with no second confirmation. That is convenient and it is final. If several people work your inbox, they should know this before anyone sees the button for the first time.
What is not part of it today
Requests come in by email. Chat, phone and social run wherever they run today. And the shipment status is exactly that, a status for a tracking number, not a replacement for a shipping tool.
Where the real gain is
The minutes saved per ticket are the smaller half. The larger one is that nobody writes an answer from memory any more because looking it up would have taken too long. Those are the emails that make a customer write a second time.
